Logistics And Transportation Policy

At Aoquan Rubber, we are committed to providing reliable, efficient, and transparent logistics services for customers worldwide. As a manufacturer and supplier of rubber sealing products, toilet flange seals, rubber components, and customized rubber solutions, we work with experienced logistics partners to support international B2B shipments by sea, air, express courier, and other agreed transportation methods.
This Logistics and Transportation Policy outlines our standard practices regarding order preparation, shipping arrangements, delivery, documentation, and transportation responsibilities.

1. Order Processing and Production Lead Time
Shipping arrangements will be made after the order has been confirmed, production has been completed, and all applicable payment terms have been satisfied.
Estimated production lead times vary depending on:
Product type and order quantity
Standard or customized specifications
Raw material availability
Tooling or mold requirements
Testing, inspection, or certification requirements
Packaging requirements
Production schedule at the time of order confirmation
The estimated production and shipping schedule will be communicated in the quotation, Proforma Invoice, Purchase Order confirmation, or other agreed commercial documentation.
Lead times provided are estimates unless a specific delivery date has been confirmed in writing.

2. Available Shipping Methods
Depending on shipment size, destination, urgency, and customer requirements, we may arrange transportation through the following methods:
Sea Freight
Sea freight is generally recommended for large-volume, palletized, or containerized B2B orders. We can support LCL (Less than Container Load) and FCL (Full Container Load) shipments where applicable.
Air Freight
Air freight may be used for medium-sized or time-sensitive shipments requiring faster delivery than sea freight.
International Express
For samples, prototypes, small-volume orders, or urgent replacement parts, international express services such as DHL, FedEx, UPS, or equivalent carriers may be used.
Customer-Nominated Forwarder
Customers may appoint their own freight forwarder or logistics provider. In such cases, we will coordinate shipment pickup and export documentation according to the agreed trade terms.
The final transportation method will be confirmed before shipment.

3. Incoterms and Shipping Terms
Unless otherwise agreed in writing, shipping responsibilities, costs, insurance, customs clearance, and transfer of risk will be determined according to the applicable Incoterms® rules stated in the quotation, Proforma Invoice, Purchase Order, or sales contract.
Common trade terms may include, but are not limited to:
EXW – Ex Works
FOB – Free On Board
CIF – Cost, Insurance and Freight
CFR – Cost and Freight
DAP – Delivered at Place
Specific Incoterms and the named port or destination must be confirmed for each order.
In the event of any inconsistency between this Policy and the agreed sales contract or Purchase Order, the mutually agreed commercial terms will prevail.

4. Freight Charges
Freight charges depend on factors including:
Shipment weight and volume
Packaging dimensions
Transportation method
Destination country or region
Port or airport of destination
Fuel surcharges
Seasonal logistics costs
Customs or regulatory requirements
Special handling requirements
Where freight is arranged by Aoquan Rubber, estimated transportation costs may be included in the quotation or provided separately.
Unless specifically stated otherwise, customs duties, import taxes, destination port charges, local delivery costs, customs clearance fees, storage fees, and other destination-side charges are the responsibility of the customer.

5. Packaging
We use commercially appropriate packaging designed to protect rubber products during storage, handling, and international transportation.
Depending on the product and order requirements, packaging may include:
PE bags or sealed inner packaging
Cartons
Reinforced export cartons
Pallets
Wooden cases where required
Protective separators or cushioning
Custom labels and packaging
For rubber sealing components, particular attention may be given to preventing excessive compression, deformation, contamination, moisture exposure, or unnecessary contact with heat and sunlight during transportation.
Customer-specific packaging, labeling, barcode, palletization, or retail packaging requirements should be communicated and confirmed before production.
Additional charges may apply for customized packaging.

6. Shipping Documentation
Depending on the destination and agreed shipping terms, we may provide standard commercial and export documentation, including:
Commercial Invoice
Packing List
Bill of Lading or Air Waybill
Certificate of Origin, where applicable
Product specifications or inspection documents
Test reports, where agreed
Material or compliance documentation, where applicable
Additional certificates, legalization, customs documents, or third-party inspection documents must be requested before shipment and may involve additional fees or processing time.

7. Customs Clearance and Import Requirements
Customers are responsible for confirming that the ordered products comply with the import regulations, customs requirements, labeling rules, and other legal requirements of the destination country unless otherwise agreed.
The customer is responsible for providing accurate consignee information, tax identification details, import licenses, or other information required for customs clearance.
Delays caused by customs inspections, missing customer documentation, import restrictions, government authorities, or other circumstances beyond our reasonable control are not considered manufacturing delays.

8. Estimated Transit Time
Transit times vary depending on the selected shipping method and destination.
Typical transportation periods may range from:
International Express: approximately 3–10 business days
Air Freight: approximately 5–15 business days
Sea Freight: approximately 15–60 days or longer depending on destination and route
These timeframes are provided for reference only and do not constitute guaranteed delivery dates.
Actual delivery times may be affected by customs clearance, port congestion, weather, carrier schedules, public holidays, transportation capacity, geopolitical events, or other circumstances beyond our control.

9. Shipment Tracking
Where tracking information is available, shipment details will be provided after dispatch.
For courier shipments, customers may receive a tracking number.
For air or sea shipments, shipment information such as the Air Waybill number, Bill of Lading number, vessel details, or estimated departure and arrival schedule may be provided where applicable.

10. Delivery Inspection
Customers should inspect the shipment promptly upon receipt.
Before signing the carrier’s delivery receipt, customers are encouraged to check:
Number of cartons, pallets, or packages
External packaging condition
Visible signs of damage
Signs of moisture, crushing, or tampering
If visible transportation damage is identified, the customer should record the damage on the carrier’s delivery document whenever possible and retain photographs, packaging, and relevant shipping records.
Any shortage, damage, or transportation-related issue should be reported to us as soon as reasonably possible after delivery.

11. Transportation Damage or Loss
Responsibility for transportation loss or damage will be determined according to the agreed Incoterms, shipping arrangement, insurance coverage, and carrier terms.
Where Aoquan Rubber arranges transportation and transportation insurance is included, we will reasonably assist the customer with the carrier or insurance claim process.
Customers may be required to provide:
Photographs or videos of the damaged goods
Photographs of the outer packaging
Shipping labels
Packing List
Delivery receipt
Damage report issued by the carrier
Other supporting documents requested by the logistics provider or insurer
Customers should not dispose of damaged goods or packaging before the claim process has been completed unless authorized.

12. Delays Beyond Our Control
We will make reasonable efforts to arrange shipments according to the confirmed schedule. However, we are not responsible for delays caused by events beyond our reasonable control, including but not limited to:
Severe weather or natural disasters
Port congestion
Carrier delays or route changes
Customs inspections
Government restrictions
Labor disputes
Transportation disruptions
War, civil disturbance, or geopolitical events
Public health emergencies
Force majeure events
Where significant delays occur, we will communicate available information and work with the customer and logistics provider to identify practical solutions.

13. Changes to Shipping Instructions
Any change to the delivery address, consignee information, shipping method, forwarding agent, packaging, or documentation requirements should be submitted before shipment arrangements have been finalized.
Changes requested after booking or dispatch may result in additional freight charges, storage fees, handling fees, or delivery delays.
Such additional costs will normally be borne by the party requesting the change.

14. Storage Due to Delayed Collection
For EXW, FOB, or other orders requiring customer-nominated pickup, customers should arrange collection within the agreed timeframe after receiving notification that the goods are ready.
If goods remain in our warehouse for an extended period due to delayed pickup caused by the customer or customer’s logistics provider, additional storage, handling, or re-booking charges may apply.

15. Samples and Small Orders
Samples and small-volume trial orders are generally shipped by international express courier unless otherwise agreed.
Courier costs may be:
Paid by the customer directly using their courier account;
Included in the sample quotation; or
Paid separately before shipment.
Any import duties or taxes charged at the destination are normally the responsibility of the recipient.

16. Customized Products
For customized rubber components, molded rubber parts, sealing rings, or products manufactured according to customer drawings or technical requirements, shipment schedules will be determined based on the confirmed production, inspection, and approval process.
Where pre-production samples or customer approval are required, mass production and shipment lead times will normally begin after final sample approval.

17. Customer Responsibilities
To support smooth delivery, customers should provide complete and accurate information, including:
Company and consignee name
Delivery address
Contact person and phone number
Email address
Tax or customs identification information where required
Import documentation requirements
Preferred transportation method
Nominated freight forwarder details, where applicable
Special packaging or labeling requirements
Aoquan Rubber is not responsible for delays or additional charges resulting from inaccurate, incomplete, or late information provided by the customer.

18. Policy Updates
We may update this Logistics and Transportation Policy from time to time to reflect changes in our logistics procedures, international transportation conditions, regulatory requirements, or business practices.
The version published on our website will be the current version unless otherwise agreed in writing.
